Privacy notice

This notice explains how the ISMAI 2026 microsite handles personal information.

Purpose of this microsite

The ISMAI 2026 microsite supports the International Symposium on Medical AI organised by International Society of Medical AI (ISMAI). It is operated separately from any other ISMAI service and from the live ismai.org website.

Registration data

When a delegate registers through this microsite, ISMAI processes their name, professional details, institution, country, contact email, selected delegate category, and any code entered for a code-based or complimentary route. This information is used to manage symposium registration, confirm payment status, support delegates before and during the event, prepare attendance and badge lists, and reconcile finance and audit records.

Dietary requirements and accessibility needs are optional fields used solely to support attendance. Access to these fields is restricted to the registration administrators and to the dedicated administrative export used to brief catering or onsite teams.

The optional "note to the symposium team" on the registration form is stored as a delegate-supplied note and is visible only to ISMAI registration administrators. It is kept separate from staff-authored internal notes used for administrative case handling, and is not displayed publicly.

Payment processing

Paid registration is processed by Stripe Checkout. Card details are entered on Stripe's hosted pages and are not collected or stored by ISMAI. ISMAI receives only the data necessary to confirm payment status, including a Checkout Session reference, payment intent reference, amount, currency and payment status. Stripe processes payment data under its own privacy policy and applicable law.

Email communications

Operational email related to registration, such as confirmation of a paid or complimentary registration, may be sent using a configured email service. Email failure does not change the paid status of a registration. ISMAI does not use registration data for marketing email.

Abstract submissions

Abstracts submitted through this microsite are stored by ISMAI for the purposes of peer review, programme planning and event administration. Correspondence about abstracts may be sent from secretariat@ismai.org. Reviewer data is used to manage abstract review and reviewer workload.

Attendance, feedback and certificates

Attendance data may be used to support attendance evidence, post-event feedback, certificate issuance and reporting. Feedback responses are used for event evaluation. Certificates are issued by ISMAI based on attendance and the required steps. The public certificate verification page exposes only limited information that is necessary to confirm a certificate.

Access, exports and administrative use

Access to registration data is limited to authorised ISMAI staff. Administrative exports are generated only through dedicated admin tools and are audited. Dietary and accessibility information is included only in the dedicated administrative export and is not shown in public-facing views.

Data retention

Registration data will be retained only for as long as required for symposium administration, legal obligations, finance reconciliation, audit and legitimate organisational record-keeping, in accordance with ISMAI governance and applicable law.
