Registration is handled by MCR.

Registration, payment, invoices, VAT handling, badges and onsite check-in are managed externally by MCR on behalf of the International Society of Medical AI.

Delegate categories listed below are indicative. Final categories, fees and any concessions will be confirmed on the official registration portal when registration opens.

When registration opens, delegates will be taken to a secure registration portal managed by MCR. Payments and invoices are issued by the registration partner.

Registration overview

Registration for Florence 2026 is handled externally by MCR on behalf of ISMAI. This microsite does not issue tickets, invoices or badges, and does not process payments.

Acceptance of an abstract by the scientific committee is separate from registration. Presenting authors must register through the MCR portal.

Who should register

  • Clinicians, scientists, ethicists, regulators, healthcare managers, trainees, students, patient representatives and other professionals working in or alongside medical AI.
  • Authors of accepted abstracts who will present in person at the symposium.

Final categories, fees and concessions will be confirmed on the official registration portal. The list below is indicative.

What registration includes

  • Access to the scientific programme across the two symposium days.
  • Symposium materials issued at the venue.
  • Refreshment and lunch arrangements as detailed in the delegate handbook (to be confirmed).
  • Eligibility for the ISMAI attendance certificate, subject to verified attendance.

What MCR handles

  • Registration form and delegate categories.
  • Payment processing, including supported payment methods.
  • Invoices and any institutional billing arrangements.
  • VAT handling and tax documentation.
  • Badge issuance and onsite check-in.
  • Cancellation and refund processing, in line with the published cancellation policy.

Payment, invoices and VAT

Payments are processed by MCR. ISMAI does not collect or store payment card data.

Invoices are issued by MCR and reflect the registration partner as the supplier. Institutional billing fields should be entered during registration on the MCR portal.

VAT handling is the responsibility of MCR. VAT-specific queries should be addressed to MCR through the portal once it is live.

Group registration

Group registration arrangements, if offered, will be confirmed on the MCR portal. Where available, a group lead can register multiple delegates under a single invoice.

Careggi staff

Access arrangements for staff of the host institution, AOU Careggi, will be confirmed in coordination with Careggi and MCR. Specific instructions for Careggi staff will be published before registration opens.

University of Florence students

Concessionary access for students of the University of Florence may be offered subject to verification. Final arrangements and any required proof of enrolment will be confirmed on the MCR portal.

Invited faculty and VIPs

Invited faculty access is managed through the faculty coordination process by the ISMAI secretariat.

VIP and protocol guests are handled by invitation and are not registered through the standard delegate flow.

Media registration

Media registration is separate from delegate registration. Accredited media should follow the media information page for accreditation, recording policy and interview requests.

Abstract presenters

Presenting authors of accepted abstracts must register as delegates through the MCR portal. Acceptance of an abstract does not by itself complete registration.

Presenter registration deadlines and any consequences of late registration will be communicated to authors of accepted abstracts.

Accessibility needs

Specific accessibility requirements should be indicated during registration where the MCR portal supports it, and also communicated to the ISMAI secretariat so that arrangements can be confirmed in advance with the venue.

Cancellation policy

The cancellation and refund policy is set and operated by MCR. The detailed policy and any deadlines will be published on the MCR portal when registration opens.

Registration support

Registration, payment, invoice and badge queries are handled by MCR. Once the MCR portal is live, registration support is reached through the MCR portal.

After registration

Delegate confirmation, invoicing and badge issuance are managed by the registration partner. Certificates of attendance are issued by ISMAI after the event, based on verified attendance data.
